Privacy Policy

1. Who is responsible for your data

This website is operated by KEEL TECHNOLOGY VIETNAM CO., LTD., trading as Carina Coffee Beans, of No. 179, Residential Group 3, Da Sy, Kien Hung Ward, Hanoi City, Vietnam. We decide how and why personal data collected through this website is used.

For any privacy question, contact keeltechnology@gmail.com or telephone +84 979 436 310.

2. What we collect

We collect the following, and no more than we need:

• Enquiry details you give us. Company name, contact name, work email address, telephone number, country of delivery, enquiry type, product interest, volume, target delivery date and the requirements you write in the message field.
• Correspondence. Emails, messages and call notes exchanged with you about an enquiry or an order.
• Commercial records. Where you become a customer, the information needed to trade with you: billing details, shipping addresses, tax and company registration numbers, and payment records.
• Technical data. If the site is hosted on a service that keeps access logs, your IP address, browser type and the pages you visited may be recorded by that host.

We do not ask for, and ask you not to send, sensitive personal information such as health data or identity document images through the website form.

3. How the enquiry form works

The quote request form on this website is processed by FormSubmit (formsubmit.co), a third-party form delivery service. When you submit the form, the details you entered, together with your IP address, are transmitted to FormSubmit, which forwards them by email to our inbox at keeltechnology@gmail.com. FormSubmit acts as a processor on our behalf and handles the data under its own privacy terms.

The resulting email is stored in our business mailbox, which is provided by Google. If you would rather not use the form, you can email or telephone us directly using the details above.

4. Why we use your data

We use personal data for these purposes:

• To answer your enquiry and prepare a quotation — this is necessary to take steps at your request before entering a contract.
• To perform a contract with you: processing orders, arranging shipment and documentation, invoicing and collecting payment.
• To meet legal and regulatory obligations, including accounting, tax, customs and export requirements.
• For our legitimate interest in running and improving the business: keeping records of enquiries, preventing fraud and misuse of the form, and maintaining ordinary business correspondence with trade contacts.
• To send occasional commercial updates such as harvest availability or price movements, where you have asked for them or where you are an existing customer and have not objected. Every such message includes a way to stop receiving them.

5. We do not sell your data

We do not sell, rent or trade personal data, and we do not share your contact details with other companies for their own marketing.

6. Who we share data with

We share personal data only where it is needed to run our business, and only with:

• Service providers that operate parts of our infrastructure, such as our form delivery service, email provider and website host.
• Logistics and trade partners where it is required to fulfil your order: freight forwarders, shipping lines, customs brokers, inspection agencies and insurers.
• Banks and payment providers handling transfers or letters of credit.
• Professional advisers such as accountants, auditors and lawyers, under a duty of confidentiality.
• Public authorities where we are required by law to disclose information, including customs and tax authorities.

7. International transfers

We are based in Vietnam and our customers, suppliers and service providers are located in several countries. Handling your enquiry or order will normally involve transferring your data outside your own country, including to service providers in the United States. Where we make such a transfer we take reasonable steps to ensure the recipient protects the data appropriately, including through the contractual terms offered by those providers.

8. How long we keep it

Enquiries that do not lead to a trading relationship are kept for up to 24 months, so that we can pick up the conversation if you come back to us, and then deleted.

Records relating to orders, invoicing and shipments are kept for as long as required by Vietnamese accounting, tax and customs law, which is generally ten years from the end of the relevant financial year.

Marketing contact details are kept until you ask us to stop contacting you.

9. Security

We restrict access to enquiry and customer data to the people in our business who need it, use access-controlled accounts with multi-factor authentication for our email and business systems, and require the same of our service providers.

No transmission over the internet can be guaranteed completely secure. Please do not send bank account details, passwords or identity documents by ordinary email. If you receive a message that appears to come from us asking you to change payment details, telephone us on the number above to verify it before acting.

10. Your rights

Subject to the law that applies to you, you may ask us to:

• confirm what personal data we hold about you and give you a copy of it;
• correct data that is inaccurate or incomplete;
• delete data where we no longer have a valid reason to keep it;
• restrict or object to how we use it, including stopping commercial messages at any time;
• provide data you gave us in a portable electronic format.

Send any request to keeltechnology@gmail.com. We respond within 30 days. We may need to verify your identity first. If you are not satisfied with our response, you may complain to the data protection authority in your country.

11. Cookies and tracking

This website does not set cookies of its own, does not use analytics or advertising trackers, and does not profile visitors.

Product and background photographs are loaded from a third-party image service (Unsplash). Your browser requests those images directly, which means that service receives your IP address and browser details, as it would for any image loaded from another website. Submitting the enquiry form sends data to FormSubmit as described above.

12. Children

This is a business-to-business website that is not directed at children, and we do not knowingly collect personal data from anyone under 16.

13. Changes to this policy

We may update this policy as our practices or the law change. The current version and its date are always shown on this page. Material changes affecting existing customers will be notified by email.
